Collaborate on documents with comments and suggestions

Overview

Comments and suggestions allow team members to provide feedback, ask questions, and propose changes without directly editing the document. This is perfect for review processes and collaborative editing.

Adding Comments

Method 1: Select Text

  1. Select the text you want to comment on
  2. Click the "Comment" button that appears
  3. Type your comment in the comment box
  4. Click "Post" or press Ctrl+Enter
  5. The comment is attached to the selected text

Method 2: Comment Button

  1. Place your cursor where you want to add a comment
  2. Click the "Comment" icon in the toolbar
  3. Type your comment
  4. Click "Post"

Suggesting Changes

Suggestions are proposed edits that can be accepted or rejected:

  1. Select the text you want to suggest changing
  2. Click "Suggest" in the toolbar
  3. Type your suggested replacement text
  4. Click "Suggest change"
  5. The suggestion appears as tracked changes
  6. Document owners can accept or reject the suggestion

Tip: Suggestions are shown with a different color and strikethrough for the original text, making it easy to see proposed changes.

Managing Comments

Replying to Comments

  1. Click on a comment to open it
  2. Type your reply in the reply box
  3. Click "Reply" or press Enter
  4. Replies are threaded under the original comment

Resolving Comments

Mark comments as resolved when they've been addressed:

  1. Open the comment
  2. Click "Resolve"
  3. The comment is marked as resolved and hidden by default
  4. You can view resolved comments by toggling "Show resolved"

Deleting Comments

Only comment authors and document admins can delete comments:

  1. Open the comment
  2. Click the "More" menu (three dots)
  3. Select "Delete"
  4. Confirm deletion

Reviewing Suggestions

When someone suggests a change, you can review and act on it:

Accepting Suggestions

  1. Click on a suggestion
  2. Review the proposed change
  3. Click "Accept"
  4. The change is applied to the document
  5. The suggestion is marked as accepted

Rejecting Suggestions

  1. Click on a suggestion
  2. Click "Reject"
  3. Optionally add a comment explaining why
  4. The suggestion is removed and the original text remains

Accepting/Rejecting All

You can accept or reject all suggestions at once:

  1. Click the "Suggestions" menu in the toolbar
  2. Select "Accept all" or "Reject all"
  3. Confirm the action

Comment Notifications

You'll receive notifications when:

  • Someone comments on a document you own or have access to
  • Someone replies to your comment
  • Someone mentions you in a comment (using @username)
  • A suggestion you made is accepted or rejected

You can manage notification preferences in your account settings.

Mentioning People

Mention team members in comments to notify them:

  1. Type @ in a comment
  2. Start typing the person's name
  3. Select them from the dropdown
  4. They'll receive a notification about the mention

Comment Threads

Comments are organized in threads, making it easy to follow conversations:

  • Each comment can have multiple replies
  • Replies are nested under the original comment
  • You can collapse/expand threads
  • Threads are sorted by most recent activity

Best Practices

  • Be specific: Point to exact text when commenting
  • Be constructive: Provide helpful feedback and suggestions
  • Resolve comments: Mark comments as resolved when addressed
  • Use mentions: @mention people who need to see your comment
  • Review regularly: Check and respond to comments promptly
