Overview
Sharing documents in Antinium allows you to collaborate with team members, clients, and stakeholders. You can control who can view, edit, or comment on your documents.
Sharing with Workspace Members
The easiest way to share is with members of your workspace:
- Open the document you want to share
- Click the "Share" button in the top right
- Select workspace members from the list
- Choose their permission level (Viewer, Editor, or Admin)
- Click "Share"
- Members will receive a notification and can access the document
Sharing with External Users
You can share documents with people outside your workspace:
Shareable Links
- Click the "Share" button
- Toggle "Create shareable link" to ON
- Choose the permission level for the link
- Copy the generated link
- Share the link via email, chat, or any other method
Security Note: Anyone with the link can access the document. Use password protection for sensitive documents.
Email Invitations
- Click the "Share" button
- Enter email addresses in the "Invite people" field
- Select permission level for each invitee
- Add an optional message
- Click "Send invitations"
- Recipients will receive an email with access to the document
Permission Levels
Viewer
Can view the document and add comments, but cannot edit.
- View document
- Add comments
- Export document
Editor
Can view, edit, and comment on the document.
- All Viewer permissions
- Edit content
- Translate text
- Add/remove comments
Admin
Full control over the document, including sharing settings.
- All Editor permissions
- Manage sharing settings
- Change permissions
- Delete document
Public Sharing
You can make documents publicly accessible (requires workspace setting to be enabled):
- Enable public sharing in workspace settings
- Open the document
- Click "Share" → "Make public"
- Copy the public link
- Anyone with the link can view the document
Warning: Public documents are accessible to anyone with the link. Do not share sensitive information publicly.
Managing Shared Access
Viewing Shared Access
See who has access to your document:
- Click the "Share" button
- View the list of people with access
- See their permission levels
- See when they last accessed the document
Changing Permissions
- Open the share dialog
- Find the person whose permissions you want to change
- Click the dropdown next to their name
- Select a new permission level
- Changes take effect immediately
Removing Access
- Open the share dialog
- Find the person you want to remove
- Click the "Remove" button
- Confirm the removal
- They will lose access immediately
Link Expiration
For security, you can set expiration dates on shareable links:
- Create a shareable link
- Click "Link settings"
- Set an expiration date
- Optionally require a password
- Save settings
After the expiration date, the link will no longer work and access will be revoked.
Best Practices
- Use appropriate permissions: Only grant edit access to people who need it
- Review access regularly: Remove access for people who no longer need it
- Use expiration dates: Set expiration dates for temporary sharing
- Protect sensitive documents: Use password protection for confidential content
- Monitor access: Check who has access to your documents regularly
